Part I: Setting up a Fax Printer
To create faxes for Switchvox, you need to set up a generic printer on your desktop computer that you can use from any application. This is for initially setting up the fax printer which you will only need to perform this step once.
Windows 10 Setup:
1. Enable IPP (This portion may need to be setup by a member of your IT department)
- Go to Control Panel > Programs and Features > Turn Windows features on or off (This may take a while to load)
- Expand for Printer and Document Service
- Enable IP Printer Client
2. Add a Printer
a. From the task bar Search enter Add Printer
b. Click on Add a Printer or Scanner from the search results
- Click on Add a Printer or Scanner
- Once it appears, click on The Printer that I want isn't listed
- Click on Select a shared printer by name
- Enter the following into the field:
http://<Your Phone Extension>:<Your [email protected]:631/printers/faxprinter
If Windows 10 ask for the password, use the extension as username and Voicemail numeric password as the password
- you should be prompted to setup the printer drivers. Use the following:
Make: Generic
Printers: MS Publisher Color Printer
- Click on OK button to complete the setup of the fax printer.
Part II: Sending a Fax
Now that you have your fax printer set up, you can create a fax from any application.
- In your document, select the Print option.
- In the Print dialog box, select the new ‘faxprinter’ as the printer to use, and print the file. You will receive email notification that a Fax Draft has been received. Click on the Fax Drafts Folder link from the email.
- Enter your Extension and VM GUI password. (This password is different from your VM password).
- Once logged in you should be in your Mailbox Fax Drafts folder and see your fax listed
- Under Actions click on the button with a fax machine icon
- Enter the number for the fax machine you want to send this fax to.
- Click Send Fax.
Your fax image is in the Outbox folder, on the extensions, while it is being sent, and is then moved to the Sent folder after it is successfully sent.
Part III: Setting up Phone Extension to Receive Faxes by Email
This part of the instructions must be completed by a member of the IT Department
1. Log into the http://phone.wilmington.edu/admin with admin login.
2. Go to Setup > Incoming Calls (under Call Routing)
3. Search for the number needing to have Faxing enabled. If you can’t find the number listed, then you will need to create one. If found ensure that the Incoming Call Type is set to Voice Calls and Faxes. If having to create the entry click on the Create Single DID Route button at the top.
Rule Name: The full number (9374812<ext>)
Note: Leave Blank
Incoming DID to Match: The full number (9374812<ext>)
Incoming Provider: Any Provider
Incoming Call Type: Voice Calls and Faxes
Extension to Route Call: Extension number
Process All Calls as a Fax: No
Click on the Save Single DID Route button
Adding Email to User’s Extension
1. Go to Setup > Manage (under Extensions)
2. Search for the extension to be modified to receive Faxes
3. Click on the Pencil icon listed under Actions
4. Enter the person's email address into the Email Address field and then click Save SIP Extension button
